An organization often experiences tough employees who are either unproductive at work or don’t have proper conduct despite service notices. In such a case, it is essential that the organization terminates those employees from office. However, an essential point to note while terminating an employee is to issue a termination letter.

There can be several reasons for firing an employee. The most common of them are poor performance and disciplinary issues. To issue a termination letter for an employee, the organization would require the basic information about the employee. The letter of termination is also known as the Letter to Fire an Employee or a Pink Slip.

Basic letter of termination to employee – without cause

Mr/Ms (employee name),

The employment termination letter is issued to inform you that your employment with (organization name) will end on (date/month/year). This decision is final and binding.

You will receive the final paycheck and the due payment for the rest of leave today. Once you have signed and returned the document with attached release of claims document, you will immediately receive a (pay allowance amount) severance payment.

The health care benefits will remain in effect for a period of additional 90 days.

You are duly requested to return the company laptop, swipe card, cell phone and other office property before the end of the day.

Also, please note that you have signed a confidentiality agreement with us. Please review the attached copy.

Sample letter of termination without Cause (staff reduction)

The letter of termination of employment is issued to inform you that your employment with (organization name) will end as of (date/month/year). This decision is final and binding.

You have been terminated for the following reasons:

(Staff reduction reason. Example- Due to the recent economic conditions that have led to a massive downturn in sales, thereby necessitating a 20% workforce reduction at (organization name). Unfortunately, your position is listed as a part of this reduction process and has been eliminated)

You will receive the final paycheck after your last day, as well as the remaining payment for the leave. You will also receive a (pay allowance amount) severance payment provided the attached release of claims document when it is signed and returned.

The health care benefits will remain in effect for additional 180 days after your termination is in effect.

You are requested to return the company vehicle, key card, phone and other office property on your last day of employment.

Also, do note that you have signed a number of agreements with us which prohibits you from divulging any confidential information outside. Please review the attached copies.

Sample Termination Letter for Cause (attendance)

The separation letter issued is to inform you that your employment with (organization name) will end as of (date/month/year). This decision is final and not reversible.

We decided to terminate your employment with immediate effect for these reasons:

(attendance reason. Example- On (date/month/year), you were absent from work without leave and prior notice. At that time, you were already given a formal written warning about your absence violating the company policy.

On (date/month/year), you were again absent from work and office, without leave and prior notice. At that time you were again issued a second warning and informed that a third occurrence of the same kind within a year would result in your immediate termination.

On (date/month/year), you were absent from work without leave and prior notice a third time, resulting in your termination.)

Included with this letter of termination is the final paycheck.

The health care benefits will remain in effect for additional 60 days.

You are requested to return any company property like laptops, keys, books and other items before the end of the day.

Also, do note that you have signed a non-solicitation agreement with us. Please review the attached copy.
