How to write the best Thank You Letter after an Interview

It is always to send a thank you letter/email after an interview. This leaves a good impression of the candidate on the employer and is an excellent professional courtesy. Sending a follow-up thank-you note to the employer can make a big difference between getting hired and being rejected. However, often candidates find it difficult to write a proper thank you letter/mail to send to the organization. Even if the interview went okay, many candidates end up losing their chance in the organization by sending a hotchpotch thank you note. As such, today we bring to you tips to write a proper thank-you note. We make it easier for you by giving samples of thank you note after an interview.

How to Write a Thank You Note/Email after an Interview

Following are the steps to follow while constructing a thank you note:

  • Include the subject line as “Thank you for your time.”
  • Begin the email body with a personalized greeting
  • Start the main section of the letter by thanking the organization and expressing the appreciation for their time during the interview
  • In the next step, mention something specific that was said during the interview that you enjoyed learning about.
  • Reaffirm your interest in the job and tell them that you’re excited to hear about further steps

Samples of thank you letter/email to be sent after the interview:

Sample 1:

Hello <Interviewer’s Name>,

I wanted to take a second to thank you for your time <yesterday/Friday/etc>. I enjoyed our conversation about <specific topic you discussed> and enjoyed learning about the <Job Title> position overall. 

It sounds like an exciting opportunity, and an opportunity I could succeed and excel in! I’m looking forward to hearing any updates you can share, and don’t hesitate to contact me if you have any questions or concerns in the meantime.

Thanks again for the great conversation <yesterday/Friday/etc>.

Best Regards,

This is a short and casual thank you note. This note is best sent through an email to the organization.

Sample 2:

Hello <Interviewer’s Name>,

Thank you for taking the time to speak with me <yesterday/Friday/etc.> about the <Job Title> position at <Company Name>. It was a pleasure talking with you, and I really enjoyed hearing all the details you shared about the opportunity.

The information you shared about <Something specific about the job that interests you> sounded particularly interesting. 

I am confident that my skills will allow me to come in and succeed in this role, and it’s a position I’d be excited to take on. 

I’m looking forward to hearing from you about the next steps, and please don’t hesitate to contact me in the meantime if you have any questions.

Thank you again, and I hope to hear from you soon.

This sample is a little longer and more formal. This can be sent as a thank you letter or as an email.

Sample 3:

Dear <Interviewer’s Name>,

Thank you for taking the time to meet with me <yesterday/Friday/etc>. I’m very excited about the opportunity to work at <Company Name>!

The <Job Title> role certainly sounds exciting, and it’s a role I believe I’d excel in thanks to my <experience or skill that would help you succeed in their job>.

I look forward to hearing feedback as soon as you have any updates and would love to continue discussing the opportunity with you.

Feel free to contact me if you have any questions or need clarification on anything we talked about in the meantime.  Thank you again, <Interviewer’s Name>.

This is the most formal of the three thank you samples listed above.

Points to note while constructing a thank you note:

  • Always add Customization in the Thank-You Notes. While creating the note, it is necessary to mention a specific topic that was discussed in the interview. This is the best way to show them that the letter is meant especially for them, not just taken from a generic template.
  • It is always best to Send a Thank-You Note as a mail. It is because the sender can make sure it is delivered at the exact time they want, an email is more accessible, takes less time, and is modern and more uncomplicated for all.
  • The best time to send the thank you email/letter is one day after the interview, between 12:00 – 1:00 PM. Also, one should make sure the email is sent within 24 hours of the interview so that the conversation the candidate and the employer has is still fresh in the employer’s mind.
  • Before Sending, Proofread Everything. Go through each detail and make sure it makes sense for the employer. Make sure it doesn’t sound like taking the content from a template.
  • Never Copy and Paste the same email and send it to multiple organizations. It creates a wrong impression.
