How To Write A Recommendation Letter

Writing a recommendation letter template is a great way to help someone you know get their dream job, scholarship, or other opportunity. But if you’ve never done it before, it can be hard to know where to start and how to recommend someone.

In this article, we’ve put together some tips on what to include and how to write the best recommendation letter templates for HR that will impress the person reading it.

What is a recommendation letter?

A recommendation letter is used to refer a person for a particular job or opportunity in general. The person who writes a recommendation letter is called a referee or personal reference. As a referee, it’s equally important to have a recommendation letter template that will help you craft a good piece. The letter can be written for school purposes, a job position, and more.

When You Need a Recommendation Letter 

When you need to write a recommendation letter, it’s important not to procrastinate. You’ll want to get the letter in early so that your referee has enough time to write a thoughtful and detailed letter. If you wait until the last minute, they may not be able to find time to go back through their records or even remember all of their interactions with you.

You also want to make sure you give your recommendation writer plenty of information about what you’re applying for and why. This will ensure that they know exactly how to tailor their letter of recommendation for the position or program you are applying for.

Another thing you should do is provide them with any materials they need before they begin writing the actual recommendation letter itself. This can include past projects or other relevant documents that demonstrate your skill set or experience in relation to the position or program that you’re seeking out. You can also ask them if there’s anything else they might need from you in order for them to write a great letter on your behalf. Remember to thank them after they have written and sent your letter. 

How to Recommend Someone

Writing a recommendation letter is a lot like writing a cover letter: you want to make sure you’re using the right tone, making it clear what position or program you’re recommending for, and highlighting the candidate’s strengths. But it’s necessary that you decide whether you want to write the letter or not before you accept their request. 

Here are some tips for writing a great recommendation letter:

1. Make sure to include all relevant information in your letter. Ensure that you know who will read the letter (for example, in recommendation templates for HR) and what they’ll be looking for (for example, skills, experience, etc.). If you’re writing for an academic institution or other professional organization, then your letter should be scholarly and formal. If it’s for a corporation or business, then the tone should be more conversational and formal.

2. Be as specific as possible. Set up the context of your relationship with the person you’re recommending. For example: “I’ve known [name] since [year], when she joined [name of organization].” When you’re writing a recommendation letter, make sure to be specific about the person’s qualities, talents, and abilities that made them such an asset for your organization, business, or school. Remember that there are other people involved in making decisions about who gets hired or accepted into programs. You should get them all on board with your recommendation.

3. Don’t forget to mention why the person would be a good fit for this opportunity. This may be obvious if this is a job, but even if it’s not, highlight why someone should get involved with an organization or program in general. Always write with enthusiasm. Give details about why the person deserves whatever they’re applying for, and make sure those details are specific. Tell them exactly what those results were and who benefited from them. For example, “When we were assigned our first project together in my class on organic chemistry at Harvard University, I knew right away that [name] had an incredible mind for science after she led the first practical.”

4. Include more than one example of their achievements. It’s important not only to highlight what an amazing employee, student, or personality the person has. It’s also important to show that their achievements are not isolated incidents but rather part of a larger pattern of success. Make sure to include at least two examples that highlight different aspects of their abilities (i.e., leadership skills, teamwork skills, problem-solving skills).

What to Include in Your Recommendation Letter Templates for HR and General Uses

Your recommendation letter must include certain sections, whether you are sending it as a written statement or an email. You should adhere to the rules for writing one. Some of the things to include are: 

  • Salutation: This is the first section of the letter, and it should be done properly. Confirm whose name should be used for the greeting and include it. For example, “Dear [Mr. John].” If it’s a general letter, you can include, “To whom it may concern.” 
  • Body: The next section of the letter is the body. Here, you should start by addressing the reason for the letter and highlighting your connection to the person for whom you are writing it. Also use this section to explain how they are a good fit for the role and to describe their skills and experiences. 
  • Summary: The summary should further encourage the reader to accept the person you are recommending. Inform them that you’ll highly recommend the person. 
  • Conclusion: Your conclusion is your invitation to them if they wish to contact you for further information. It should include your contact details and then you close the letter with your name and signature.
